Privacy policy

This Privacy Policy explains how Estimate Followup collects, uses, stores, and shares information when someone visits the website, creates an account, purchases a subscription, imports lead data, uses the dashboard, or contacts support. It is written for a small B2B SaaS product used by roofing, HVAC, Plumbing, and contractor businesses.

Information we collect

We may collect account information such as name, company name, email address, password credentials handled through the authentication provider, selected trade, workspace settings, sender name, and company name used in scripts. We may also collect business workflow data that a customer chooses to add to the app, including lead names, phone numbers, email addresses, company or property names, lead source, estimate value, status, follow-up dates, notes, appointment details, script tone, and script scenario.

The dashboard is designed for business lead follow-up, not for storing highly sensitive personal data. Customers should not upload Social Security numbers, bank account details, medical information, government IDs, private insurance claim files, passwords, or any data they are not authorized to use.

Lead and customer data

Customers are responsible for the lead lists and contact information they import, paste, type, or upload. By adding lead data, the customer represents that they have a lawful business reason, required permission, or another valid basis to store and use that information for follow-up. Estimate Followup does not independently verify whether a customer has consent to text, email, call, or otherwise contact a lead.

Lead data may be stored in the signed-in workspace when backend storage is configured. Some appointment or workspace information may also be stored locally in the browser for product functionality. Browser-stored information can be visible to anyone with access to that browser profile and may be lost if local storage is cleared.

How we use information

Payments and billing providers

Payments are handled by Stripe or another checkout provider. Estimate Followup does not intentionally store full payment card numbers on its own servers. Checkout providers may collect billing name, email, payment method details, card metadata, tax information, receipts, customer portal information, fraud signals, and subscription status under their own terms and privacy policies.

Because payment processing is handled by third parties, customers should review the payment provider's privacy policy and terms. Estimate Followup may receive limited billing records from the provider, such as customer email, subscription plan, payment status, renewal status, cancellation status, and transaction identifiers.

Authentication and workspace providers

Account sign-in, password handling, workspace sync, and database storage may be provided by Supabase or another backend provider. Those providers may process account identifiers, authentication tokens, session metadata, IP-related request information, and workspace records needed to operate the service. Customers are responsible for keeping login credentials confidential and for controlling who can access their account.

Scripts, messages, and generated drafts

The SMS and email tools create draft language based on lead details and selected scenarios. Drafts are not legal, compliance, sales, or marketing advice. Customers must review every draft before sending it and are responsible for making sure messages are accurate, truthful, non-deceptive, properly consented, and compliant with all applicable SMS, email, telemarketing, advertising, privacy, and consumer protection rules.

Estimate Followup does not send texts or emails on the customer's behalf unless a future connected provider is explicitly added and configured. Copy, download, calendar, and handoff features are tools for customer convenience; they do not prove that a message was sent, received, consented to, or legally compliant.

Cookies, local storage, and similar technology

The site and dashboard may use browser storage, cookies, or similar technologies to keep a user signed in, remember an email address if the user chooses "remember me," preserve workspace preferences, store draft settings, and support local product features. The remember-me feature is designed to remember the email address only and should not store a raw password.

Customers can clear browser storage or cookies through their browser settings. Clearing storage may sign the user out or remove locally stored dashboard data.

Analytics and diagnostics

We may use basic analytics, logs, or diagnostic tools to understand website traffic, product usage, errors, device/browser information, pages viewed, approximate location from IP address, and performance issues. Analytics are used to operate and improve the product and are not intended to sell customer lead lists.

When information may be shared

We may share information with service providers that help operate the product, including payment processors, hosting providers, authentication providers, database providers, email providers, analytics tools, customer support tools, and security or fraud-prevention services. These providers are expected to use information only as needed to provide their services or as their own policies allow.

We may also disclose information if required by law, subpoena, court order, government request, payment dispute, chargeback investigation, security incident investigation, terms enforcement, business transfer, merger, acquisition, or to protect rights, safety, property, customers, or the public.

No sale of lead lists

Estimate Followup is not intended to sell, rent, or broker customer-imported lead lists. We do not claim ownership of customer lead data. If a future business model, integration, analytics product, or advertising feature changes how data is shared, this policy should be updated before that change is used.

Security

We use reasonable administrative, technical, and organizational measures appropriate for a small SaaS product. No website, browser storage method, payment processor, database, hosting provider, or internet transmission can be guaranteed completely secure. Customers should use strong passwords, limit account access, avoid uploading unnecessary sensitive data, and promptly notify support about suspected unauthorized access.

Data retention and deletion

We keep account, billing, support, and workspace information for as long as reasonably needed to provide the service, meet legal and accounting obligations, resolve disputes, prevent fraud, enforce terms, and maintain backups. Customers may request deletion of workspace data by contacting support, but some records may be retained where required for legitimate business, tax, legal, security, billing, or backup reasons.

Customer rights and choices

Depending on location, customers may have rights to access, correct, export, delete, restrict, or object to certain processing of personal information. Requests can be sent to support@estimatefollowup.com. We may need to verify the requester's identity and account ownership before fulfilling a request.

Children

Estimate Followup is a business tool and is not intended for children under 18. Users should not create accounts or submit information if they are under 18.

International users

The product is intended primarily for businesses operating in the United States. If a customer uses the service from another country or imports information about people outside the United States, that customer is responsible for complying with any local privacy, data transfer, marketing, and electronic communications laws that apply.

Policy updates

We may update this Privacy Policy as the product, providers, legal requirements, or business practices change. The effective date will be updated when changes are posted. Continued use of the service after a policy update means the customer accepts the updated policy to the extent permitted by law.
